Kenya-UK Global Mission 2026

SECTION A: TERMS AND CONDITIONS FOR ATTENDEES

1. Identification / Venue Access

Attendees may be required to present valid identification (such as a passport or government-issued ID) upon check-in at the conference venue.

Attendees must also present a valid ticket for access to the conference.

2. Cancellation and Refunds

Cooling-Off Period: Attendees may cancel their registration within 14 days of booking to receive a full refund, provided the event date is more than 45 days away.

Visa Denial: In the event of visa denial, a fee of KES 100,000 will be non-refundable.

Late Cancellations: For cancellations made 45 days or less before the event date, the full registration amount is non-refundable.

No-Shows: Attendees who do not attend the conference without prior notice shall forfeit the registration fee entirely.

3. Substitution

If an attendee is unable to attend, they may be permitted to send a substitute participant after notifying the conference organizers and obtaining approval.

4. Code of Conduct

Attendees must adhere to a code of conduct, which includes guidelines for respectful and professional behaviour, covering harassment, discrimination, and appropriate use of conference facilities.

5. Changes to Program

The conference organizers reserve the right to make changes to the program, schedule, speakers, or venue as necessary. Efforts will be made to inform attendees of any significant changes.

6. Visa and Travel

Attendees are responsible for arranging their own travel visas, accommodations, and transportation to and from the conference venue, unless otherwise specified in the registration package. The organizers are not responsible for visa refusals or related travel disruptions.

7. Disclaimer

The views expressed by speakers or participants do not necessarily reflect the views of the organizers.

8. Liability

In consideration of being permitted to attend and participate in the conference, attendees agree to release and hold harmless CICL-UK, its officers, directors, employees, agents, and representatives from any and all claims, including personal injury, illness, property damage, or wrongful death arising from or related to participation, unless caused by the negligence of CICL-UK.

9. Privacy Statement

CICL-UK may collect personal and non-personal data during interactions with the conference or its website.

Personal data will be processed in accordance with Kenya’s Data Protection Act 2019.

Attendees grant permission for photographs and videos taken during the event to be used by CICL-UK for commercial and personal purposes, including marketing materials and online platforms.

SECTION B: SPONSORSHIP TERMS AND CONDITIONS

1. Agreement

By signing below, the Sponsor agrees to participate as a sponsor in the Kenya-UK Global Mission 2026 organized by CICL-UK, subject to the following terms and conditions.

2. Payment

The Sponsor agrees to pay the total sponsorship fee for the selected category to the Organizer by 30th April 2026. Payment may be made via MPesa or other approved payment methods.

Failure to make payment by the due date may result in forfeiture of sponsorship benefits and cancellation of the sponsorship agreement at the Organizer’s discretion.

3. Benefits and Deliverables

The Organizer agrees to provide the Sponsor with the benefits outlined in the selected sponsorship package.

The Sponsor agrees to provide all required logos, advertisements, artwork, and other promotional materials by 15th May 2026.

Failure to submit required materials by the stated deadline may result in omission from certain promotional materials, without liability to the Organizer.

4. Cancellation and Refunds

All cancellation requests must be submitted in writing to the Organizer.

Sponsorship fees are non-refundable, including cancellations received 60 days or more prior to the Conference.

No refunds will be issued for cancellations received after 15th May 2026.

5. Promotional Activities

The Sponsor agrees to conduct promotional activities in a professional and lawful manner that reflects positively on the Conference and the Organizer.

The Sponsor shall not engage in any activity that may damage the reputation or goodwill of the Conference or Organizer.

6. Intellectual Property

The Sponsor grants the Organizer a non-exclusive, royalty-free license to use the Sponsor’s name, logo, and approved promotional materials for purposes related to promoting the Conference.

The Sponsor warrants that it has the authority to grant such rights and that its materials do not infringe upon any third-party intellectual property rights.

7. Liability

The Organizer shall not be liable for any direct, indirect, incidental, special, or consequential damages arising out of or related to the Sponsor’s participation in the Conference, including but not limited to loss of revenue, profits, business opportunities, or reputational damage, whether or not foreseeable.

8. Indemnification

The Sponsor agrees to indemnify and hold harmless the Organizer, its officers, directors, employees, and agents from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or related to the Sponsor’s participation in the Conference or breach of this Agreement.

SECTION C: TERMS AND CONDITIONS FOR FLIGHTS AND ACCOMMODATION

1. Booking and Confirmation

All bookings are subject to availability and confirmation by the respective airline(s) and hotel(s).

All bookings and payments shall be made directly to the airline(s) and hotel(s).

Changes to flight or hotel reservations are subject to availability and may incur additional fees imposed by the airline(s) or hotel(s).

CICL-UK assumes no liability for any injury, damage, loss, accident, delay, cancellation, or irregularity caused by any supplier or third party.

2. Travel Documents

It is the sole responsibility of the attendee to ensure that all required travel documents (including passports, visas, and health certificates) are valid and obtained prior to travel.

3. Travel Insurance

CICL-UK strongly recommends that attendees purchase comprehensive travel insurance to cover unforeseen circumstances such as trip cancellations, delays, medical emergencies, and loss of personal belongings.

4. Complaints

Any complaints regarding flights, accommodation, or related services must be directed to the relevant airline or hotel provider directly. CICL-UK shall not be responsible for resolving disputes between attendees and third-party service providers.
